POSITION SUMMARY:
Supports the operational delivery and ongoing management of employer-sponsored benefits programs, ensuring timely and accurate execution of financial transactions, data reporting, and compliance documentation. Collaborates with internal teams and external vendors to maintain benefits data integrity, meet regulatory deadlines, and assist in driving positive employee experience.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Manage data flows between vendors, payroll, and HR systems to support benefit operations
- Process and track weekly and monthly invoice payments for claims and administrative fees (e.g., UHC, OptumRx, Surest, Fidelity)
- Perform analytical studies and pull reports as required
- Assist with quarterly IBNR reporting by collecting carrier data
- Participate in the coordination and submission of annual benefits surveys (e.g., Mercer, Kaiser, WTW)
- Prepare and maintain documentation for audits, annual filings, and statutory notices (e.g., COBRA, HIPAA, CHIP)
- Support open enrollment processes including communication materials, portal updates, and rate testing
- Maintain data accuracy in systems and support compliance through regular audits and reviews
- Work with mail vendor to distribute required mailings (NOCC, CHIP, SARs, etc), including counts for mail vendor and pulling mailing lists
- Support Benefits coordinator in weekly processing of benefits eligibility demographic file and inbound payroll file
- Support preparation of open enrollment and other benefit communication materials in conjunction with Broker/Consultant
- Work with Payroll, Accounts Payable and Accounts Receivable to resolve issues and ensure checks are deposited with correct GL accounting by Legal Entity, including COBRA premium and Arrears payment p reconciliation
- Work with the Broker/Consultant to ensure company compliance with federal and state laws, including reporting requirements
- Perform ACA tracking, 1095-C/1094-C filings, and 401(k), FSA, HSA administration tasks
- Research and resolve issues in the benefits area
- Respond to external benefit questionnaires
- Prepare and Conduct benefit presentations as necessary
- Provide back-up to Benefits questions from employees
- Conduct peer review for other team members as required
- Other special projects/duties as assigned
Requirements:
Education:
- Bachelors degree in Human Resources or related field
- CEBS (Certified Employee Benefits Specialist) or PHR Certification highly desired
Experience:
- Three to five years of related experience
Other knowledge, skills, and abilities:
- Excellent organizational and analytical skills with proven ability to problem-solve and multi-task
- Proficient in Microsoft Office, especially Microsoft Word and Excel.
- Knowledge of Benefit Eligibility platforms preferred, especially BenefitFocus
- Working knowledge of SAP SucessFactors EC/ECP preferred
- Knowledge of plan funding, underwriting, benefit design and administration and statistics
- Ability to think critically, conduct root cause analysis, make decisions and work independently
- Detail-oriented, but able to see the bigger picture of each situation
- Demonstrated ability to handle and resolve complex benefit issues
- Strong commitment to customer service, effective interpersonal skills and the ability to communicate clearly
- Presentation skills
- Proficiency in MS Excel and strong data management capabilities
- Ability to manage multiple recurring deadlines and processes
- Excellent communication and interpersonal skills

The compensation package for this role is based on multiple factors, such as job level, responsibilities, location, and candidate experience. The base pay ranges included below are specific to the locations listed, and may not be applicable to other locations.
Minnesota: [$67,500-$81,000]
